Manage candidates in your pipeline
Day-to-day pipeline work happens on each job's Kanban pipeline: drag candidates between stages, select and update them in bulk, mark rejected candidates, rate and take notes on candidates, track follow-ups with tasks, and prepare for calls with Interview Mode.
Move candidates between stages
Move a candidate to the next stage by dragging their card from one stage column to another on the job's Kanban pipeline. Moving a candidate into a stage with a configured action, such as a stage email, triggers that action automatically.
Update candidates in bulk
Select one candidate or a whole stage, then apply the same stage or status change to all of them at once.
Click a candidate's initials on their card to select that candidate.
To select candidates at stage level, open the stage's three-dot menu.
Use Select All or Select None, which appear beside Bulk Actions, to select or clear the whole stage.
Apply the stage or status change. When the change affects more than one candidate, a confirmation popup opens before the action is applied.
Bulk actions count as movement between stages too, so they trigger any action configured on the stage the candidates enter.
Reject a candidate
A candidate's status is Active by default. Mark a candidate Rejected when they drop out of the process.
Marking a candidate Rejected triggers an automatic rejection email when rejection emails are enabled for that job.
Stage actions and rejection emails send automatically, including through bulk actions. Test your setup by moving dummy candidates through the stages before using live data.
Rejected candidates stay in the candidate database with their application history, rejection status, notes, and activity, so you can find them again through the candidate database. There is no separate talent-pool system with dedicated rejected-candidate filters.
Rate and take notes
Assign or edit a candidate's rating through the star icon on their candidate card on the pipeline.
Create a note from the candidate profile with New Note. Notes are internal by default; sharing a note with clients is controlled separately in the portal settings.
Track follow-ups with tasks
Use tasks so follow-ups, reminders, and next steps never depend on memory.
Open the Tasks page.
Click New Task.
Assign the task to a team member.
Link the task to a candidate, client, or job.
Give the task a due date.
Filter your task list by due date, team member, or status.
Focus with Interview Mode
Interview Mode shows everything you need for a call in one focused view: candidate information, resume, job details, and notes.
Open the candidate's profile.
Open the Actions menu and start Interview Mode.
