Share candidates with a client portal
A client portal gives your client a secure, branded workspace where they review your shortlisted candidates, track progress on their roles, and send you ratings, notes, and decisions. You set it up from the Companies and Contacts sections, share access with a unique portal link and a per-contact passcode, and control exactly which jobs, candidates, resumes, documents, and notes the client sees.
What a client portal is
A client portal is a shared workspace for one client relationship. Each portal is fully branded and gives the client real-time visibility into the roles you are working on and the candidates you have shortlisted, without relying on email updates.
Clients access the portal through their unique link and a secure passcode, so they do not need to create a Happlicant account. You control what is visible at all times, and you can tailor access to each client relationship.
Set up portal access
Portal setup works from your clients and contacts: the Companies section at app.happlicant.com/clients and the Contacts section at app.happlicant.com/clients/contacts.
Add the client contacts who will use the portal, and generate a secure passcode for each contact.
If this is your first portal for the client, choose a unique URL slug for them (for example, youragency/clientname) and click Save. The portal URL must be unique, and the portal is created instantly.
Copy the portal link and share it with your client, along with their passcode.
Choose what to share
You decide exactly what each client sees. Portal visibility is controlled with toggles for jobs and candidates, so you can show only the roles and shortlists that are relevant to that client.
Toggle visibility on for the jobs and candidates you want the client to see.
Within each candidate profile, choose which resumes and documents to share. Resumes can be shared in their original format or as a clean, standardized version based on your agency's template.
Candidate notes are internal by default. A note only reaches the portal if you choose to share it.
Document sharing is set per client, so you can make different resumes and documents available to each client even on the same shortlist.
What clients can do
Clients use the portal to review active roles, see shortlisted candidates, track progress for each role, and review or download the resumes and documents you shared. For every candidate, they can leave ratings, notes, feedback, and a decision.
The decision options are Reject, Unsure, and Proceed. You can track client ratings, decisions, and notes in the same view where you manage candidate visibility, so feedback and sharing stay in one place.
